Standard Operating Procedures Evaluation / Re-Certification

Our clean, degauss and evaluation processes are managed with the highest of integrity. Accountability is paramount; our re-certification teams are comprised of experienced personnel that are assigned to manage the processes at different stages of the clean and degauss evolution to maximize efficiency and to demonstrate a check and balance system that produces content-free results.

The following steps detail the quality control measures that are in place:

Step 1: External Cleaning of the Tapes

(2) Cleaning technicians clean the tapes and albums by performing the following:
  • Remove all stickers, and labels (with an exception to client specific barcodes – unless requested for removal by the client.)
  • Important! If client barcodes are damaged, illegible, or questionable – the barcodes will be removed and discarded.
  • Remove excess glue using eco-friendly solutions.
  • Review tapes and albums for physical or cosmetic damage. (Damaged tapes and albums are discarded. A report of damaged tapes will be submitted with each order.)
  • Affix barcodes on tapes, or album labels on products. (varies by account service requirements)
Step 2: Sorting, Degaussing, Evaluation and Packaging

(2) Evaluation technicians sort, degauss, and package the finished product by performing the following:
  • Erase each tape (3) times in a horizontal position. Equipment Used: Data Security MP-14 Degausser.
  • Erase each tape (3) times in a vertical position. Equipment Used: Data Security MP-14 Degausser.
  • Review each tape and album to ensure that proper barcodes and album labels are affixed. (varies by account service requirements)
  • Evaluation each tape is evaluated and re-certified using the industry standard RTI Tape Check Evaluator.
  • Package each tape and album into its proper box and label the box with a quality control label that detail: Format, Length of Tape, Box Quantity, Date of Inspection, Initials of QC Personnel, and Batch Number of Degaussing Evolution.
Step 3: Picture and Sound Quality Control

The picture and sound QC is performed by (1) QC Technician who selects random batches of degaussed tape and views them using format specific Video Players to ensure that finished products are free of picture and sound. This process is conducted 5 times per day.

EVALUATION AND CERTIFICATION OF BROADCAST MEDIA
Frequently Asked Questions about Evaluation Process and Pricing:

1. “What is pricing with an evaluation slip? Why might I want that”?
The evaluation slip is a detailed printout of the health of the tape; it provides the exact minute length where problems exist in the tape. Many times there may be excessive dropouts in the head (beginning of the tape) or the tail (end of the tape) due to shuttling. Shuttling is when a tape is put in the deck and the arms of the deck wrap the tape initially around the head. These “hits” (excessive dropouts in the beginning or last few seconds) are not a significant concern, because that area will contain “black” anyway, or it is the part of the tape that would not contain any recorded program. A problematic tape is one with “hits” in the middle – such tape is considered defective - and we would dispose of it. You may want the print-out if the hit is in minute 80 of a 94SRL tape, since it can still be used for a 64 minute or less program. Most of the time the tape is acceptable. We can let you know if the tape is salvageable or has ugly hits throughout, saving time from the print-out.

2. “We have a degausser, we can C/D/R (Clean, Degauss, and Rewind) in house”?
We refer you to what the evaluation process is and the value from the Research Technology Intl brochure:

  • Tape cleaning module utilizes three vacuum-assisted wiping tissues that effectively remove loose oxide and dirt from the tape surface before and after polishing. Precision dual sapphire burnishing system polishes the recording surface, eliminates “snowplow” debris, and improves head-to-tape contact in your recorders. Temporary dropouts are virtually eliminated.
  • The revolutionary new LaserSCAN detector inspects the tape for physical defects and damage with virtually 100% coverage from edge to edge. RTI has used computer chip technology to produce an eight-cell photo receiver with virtually no gaps between photo sensors…and that means virtually no gaps in defect detection!
  • This non-contact optical inspection system detects physical damage in videotape that could cause major disruptions of the picture and/or sound quality because, when physical damage occurs, it causes the tape to lose contact with the heads of the VCR…usually resulting in a dramatic loss in picture or sound.
  • The solid-state visible laser in the LaserSCAN has many advantages. It has a long life and it runs much cooler than light bulbs. RTI’s special circuitry continually monitors the laser light output to guarantee consistent defect detection. Plus, the laser is a pinpoint light source…necessary to really pinpoint tape damage.
  • When tape defects occur, the light path from the laser to the photo sensors is disturbed and a defect is counted in the upper edge channel, the middle (video) channel or the lower edge channel on the display.
Important! You will not save money by rewinding tape in your own machines. Also, be aware that using tapes that have debris on them can cause premature headwear. Tape is a magnet, it likes dirt.

3. “Why is SR and HDCAM, more expensive than Betacam SP and Digital Betacam, aren’t they the same type of tapes”?
The newer evaluation machines RTI TAPEChek 4100DLS use the “state of the art” laser detector. “The TC4100’s transportation would be adjusted more critically and the erase function is enhanced to accommodate the HDCAM-SR cassettes for good erasure.” The older machines still work perfectly for SP/D-Beta/SX/IMX. They use an optical defect sensing system, which has a 64 element CCD line array, though they are not capable of a fully eradication of material. Our company policy is to use the newer machines that have been specifically designed for HDCAM and HDCAM-SR, and not the older technology for these sensitive formats.

4. “Why can’t you evaluate my D5”?
We do not evaluate D5 in a machine that checks for drop-outs. We can rewind it, degauss it and cosmetically clean it. We suggest only using masters, protection copies, and clones, truly one-pass product to clean, rewind and degauss. It is advantageous that we rewind the tape, use proper degaussers, and cosmetically clean the tape. This will save you time and money by not using the “heads” on your D5 machine, wearing them prematurely. You are best source for evaluation. You can evaluate the tape by determining it was an old master that was used once, before they gave it to us, should not have a problem with that tape. If you send us questionable product, you are at risk of having faulty tape returned. If you are unsure of the quality of your tapes, then purchase our product that has been determined worthy for re-use.

5. “I don’t have time to organize my tapes; can you just pick them up and give me back the ones I want”?
Yes. It can be predetermined and set up on a regular schedule to come and pick-up in weekly or more frequent intervals, all tape. We will then sort them, account for them, and destroy all unwanted tapes, then provide the desired service. We can also give a certificate of destruction for all materials discarded by us.

6. “I only need some of the tape back, will you buy the rest”?
Yes. We will give our current “buy” prices for stock. We can use this as a credit against your services or provide you with a check or Gift Card. Prices fluctuate depending on demand and we usually only buy back masters, protection copies, clones, camera masters, etc.

7. “Who pays freight”?
Freight can be negotiable depending on the size of the account. Gas is expensive; we welcome all accounts to ship the product to our facility. We will provide you with an “Incoming Inventory Sheet” to fill out prior to shipment. You can elect to do it or not. We will call if the inventory does not match upon arrival in our facility.

8. “How long before I can get my tape back, I needed it yesterday”?
It takes 12 minutes to properly evaluate an SR124 in the RTI. It is first visibly inspected; the album “aired out” for dust particles, the labels on the album and tape removed, logged out and boxed. We do not want to rush this process! We will offer “rush” services, but unless you plan accordingly, you may find the need to purchase our evaluated tape (if available.) Most services take 2-3 days for turnaround. Same day and next day services are available for extra charge.

9. “What if the customer states the tape is bad after it was evaluated"?
If that happens we will refund the cost of service. We have no control over the laser technology and can only determine if it is acceptable from the result of the evaluation. New tape can have problems too. Our service is backed by a 100% guarantee to either account credit or refund money paid.

10. “What is “Evaluate Only”?
We can offer the “Evaluate Only” service to companies that want the tape cleaned before they transfer it to another format. We evaluate your master without degaussing it. The evaluator has a special setting to prevent degaussing.

11. “Can you affix our company’s bar codes to the tape and album that match”?
Yes. These can be put on both the album and tape.

12. “I don’t want to end up using the same tape over and over, how will I know when I shouldn’t evaluate it anymore”?
If the machine rejects it, then it is discarded. We can affix a label anywhere on the tape, free of charge that can be marked each time it is evaluated. You may determine you only want to evaluate the tape 5 times, and then discard it on your own.

13. “Do I get charged for the bad tapes that don’t evaluate”?
Yes. We are not responsible for evaluating defective tape that customers submit to us. We will return the defective tape to the customer or destroy it at your request without an additional cost.

14.“Our material is highly sensitive, how secure is the facility that our material is serviced in”?
We are a fully insured and bonded company. We have closed circuit monitoring in our facility that can be viewed remotely. We can offer to come to your facility and degauss the product on the premises under supervision. This will need a special quote, but is very doable. We can also provide access to our camera system and the material in question can be viewed remotely as it is being degaussed (this process would take place during the later hours of the day, the camera would be positioned over the degausser as the technician observes each tape being degaussed). A recording would be available, all extra charge per quote.

15. “Can I get new albums for my tapes, ours are scratched or torn”?
No. Albums are not readily available. We will be extremely careful, knowing it is very hard to use a tape without its album. However, from time-to-time we do come across other tapes that do not evaluate well, which we discard. We will save those albums and help customers the best we can, by swapping the good ones for the damaged ones. For SR tapes we will sometimes use light gray betacam albums, when available.

16. “We have some old ¾ , DAT, Audio, Floppy disk, etc…Can you use them, we will just give them to you”?
Unfortunately almost all of those formats are discontinued and it costs too much to move them only to discard. If we are doing an evaluation service, we will take the product and sort out what is wanted by the you to be evaluated, but the rest of the product will not be accounted for unless you pay for destruction services.

17. “I would like to sell you my tape”.
We will determine the quality of the tape in our recertification facility. A visual inspection can often determine how a tape will perform. Some tapes we will reject and give back or throw away. You will be paid for your tapes after inspection in our recertification facility. Remember, prices change due to market conditions. We will continue to update pricing.

18. “What about XDCAM”?
XDCAM is a disc that can be reformatted and cosmetically cleaned. More information to come.

19. “I have never used evaluated or thought of using tape twice”?
If you look at every tape brochure, these tapes are rugged and tested to withstand 1000 passes. Not suggesting 1000 times use, but there has to be a happy “ecological and economical” medium.

20. “How do I know I am getting my tape back and not someone else’s”?
Our strict and proven procedures and protocols prevent this from happening. Also, we can enable customers to watch their product being processed through our online secured camera system.
